Pre-Trip Checklist
Here's a handy checklist to prepare you for your visit to Olympia!
- Confirm your dates via email, return your signed contract via email & send deposit. Once you have received a confirmation email that this has all been received you will be fully registered. *Note that arrival and departure times are agreed upon in the group contract, please review to make sure it is correct*
- Check & review policies of your school/school board/ team/organization to ensure that all the activities you are choosing are acceptable.
- Complete the Program Selection Form as soon as possible or call to discuss the best programming for your students.
- Photocopy and send home Packing List and Consent Forms to be signed. Consent forms must be brought to Olympia and given to the directors. Please note you must submit original copies of consent forms to Olympia.
- Request deposit from parents.
- Contact us to schedule parent information night (may be done prior to collecting permission forms and deposit). A representative from Olympia is available to come to your school for a parent information night and perform a PowerPoint presentation if requested.
- Arrange transportation to and from Camp. Make sure to plan a stop for bathroom or food if necessary.
- Review packing list, student responsibilities and teacher responsibilities.
- Confirm final numbers by completing the Group Information Form at least two weeks prior to visit.
- Organize activity groups and cabin groups. Please contact us to confirm your number of activity groups as well as the size of your cabin groups before you begin planning them.
- One chaperone/ supervisor must bring a vehicle to Camp for the duration of the trip. You are responsible for transporting a participant if they are sick, if there is an emergency, asked to leave, and so on.
- Check with your School/ School Board/ Team/ Organization about specific policies and/ or procedures. Ensure that all chaperones and supervisors are aware of these. For example: head trauma response, sending participants off site (hospital, home, ect)
- Collect completed necessary forms including Olympia Consent forms and any important medical information to bring to Camp. It is mandatory to bring the Olympia Consent Form for each Participant.
